The challenge
Teams spread over branches,client sites and the road.
Technicians, sales reps, guards, cleaners and drivers work away from the office, often hired through contractors. Supervisors could not answer three simple questions.
Where is everyone right now?
Phone calls and site visits were the only way to locate someone during a shift.
Did they actually work the shift?
Paper sign-in sheets and a badge at the gate do not prove presence at the assigned site for the full shift.
Who left their site?
Leaving the assigned site or entering a restricted area was only discovered after the fact.
How it works
From a new hire to a tracked shiftin four steps.
Step 01
Enrol the employee
HR creates the worker in Odoo; a device record and login are generated on the tracking server automatically.
Step 02
Install the app
The tracking app is installed on the phone with the server address and the worker’s unique ID in under two minutes.
Step 03
Assign zone and shift
The supervisor assigns the worker to a geofenced zone and a shift window; the rules do the rest.
Step 04
Track and report
Positions stream to the live map; attendance, time-in-zone and exceptions are compiled per shift.
From raw GPS to KPIs
Four layers of data,each built from the one before.
Points with GPS accuracy worse than 50 m are filtered out of routes and distance, so phones indoors do not inflate the numbers.
1 · Every 5 minutes
GPS logs
Synced from the tracking server per device: time, position, speed, battery, accuracy, direction, motion and an inside / outside geofence flag.
2 · Every 15 minutes
Daily routes
One record per employee per work day. The day starts at 06:00 Cairo time, so a night shift stays on one route. Holds points, distance, first and last point, inside %.
3 · Every hour
GPS attendance
Check-in is the first point inside the geofence, check-out the last. Written into Odoo HR Attendance; a manual entry always wins over the GPS one.
4 · Live and weekly
Dashboard and reports
Team Dashboard with 7-day KPIs, live map, six PDF reports, pivot and graph analysis, and a weekly e-mail every Monday.

How the colours are decided
- Online: last point within 10 minutes
- Recent: last point within 24 hours
- Silent: nothing for over a day; an e-mail alert is sent once
- Inside % green at 80 % or more of the day’s points inside the geofence
- Rate green at 70 % or more of the last 7 work days present
Reporting
Six PDF reports, two analysis views,one weekly e-mail.
Periods: today, yesterday, this week, last week, this month or a custom range; any subset of employees. Pivot and graph views with Excel export; the chosen PDFs e-mailed every Monday for last week.

Security and privacy
Tracking the shift,not the person.
Shift-hours only
Positions outside the rostered shift and outside the site perimeter are not kept.
Company-owned data
The tracking server and database run on your own infrastructure; no third-party cloud.
Role-based access
Supervisors see their own zones and contractors; HR sees attendance; nobody sees everything by default.
Encrypted and retained by policy
TLS between phone and server, and a retention period agreed with your legal team.
Employees are informed in writing and sign the tracking policy as part of onboarding.
